Professional/Personal Assistant
Livermore, CA
Part-time, 10-20 hours per week
We are a fast-paced and Construction Management Company seeking a reliable and detail-oriented Executive/Personal Assistant. This role reports to company President and involve 50% professional and 50% personal duties managing personal and business-related activities and providing administrative support.
Responsibilities:
- Taking dictation and transcribing notes from meetings or from voice recordings.
- Organizing and maintaining file system (client projects, records etc).
- Coordinating travel schedules and/or reservations.
- Making copies of correspondence or other printed materials.
- Operate & coordinate maintenance of office equipment: office computers, I-Phones, printer/copier, etc.
- Ability to lift boxes ranging from 5lbs -10 lbs.
- General office support, special projects and other administrative duties as assigned.
- Willingness to engage in a range of tasks.
Requirements:
- Minimum of 2 years previous experience in a personal assistant or administrative assistant role preferred.
- Bachelor’s degree preferred but not required.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other basic computer skills.
- Reliable transportation and willingness to run errands as needed.
- Professional demeanor and ability to maintain confidentiality.
- Flexibility to work 10-20 hours per week, with potential for occasional additional hours as needed.
