Job Summary:

The role of a Patient Account Specialist is to manage billing and invoicing processes within the organization. Their primary duties include generating accurate and timely invoices, processing payments, handling billing inquiries, answering calls and ensuring compliance with company policies and industry regulations. The Patient Account Specialist will work closely with other departments such as accounting to ensure accurate billing information and resolve any issues related to billing discrepancies, provide support to the billing department, and respond to staff and patients as questions and needs arise.

 

Qualifications:

  • High School Diploma or equivalent.

  • One (1) year of Federally Qualified Health Center/Commercial billing insurance experience is a plus.

  • Account Receivables follow-up experience for designated payers is mandatory.

  • Ability to retrieve patient information, input information, and locate information and resources.

  • Ability to transmit information to payers promptly.

  • Ability to work through payer portals and maintain updated information.

  • Knowledge of CPT and ICD coding.

  • Knowledge of EPIC EPM/EHR is highly desirable.

  • Wisdom dental software knowledge is a plus.

  • Ability to work with minimum supervision.

  • Ability to communicate with Axis staff, patients and vendors effectively and professionally.

  • Excellent time management skills to meet goals and objectives and the ability to be at work regularly and on time.

  • Strong analytical, employee relations, problem-solving, and interpersonal skills.

  • Excellent writing, business communication, editing, and proofreading skills.

  • Ability to interact effectively and in a supportive manner with persons of all backgrounds.

  • Ability to type a minimum of 35 WPM with minimal errors.

  • Must have good computer skills using Microsoft Office and the ability to use Axis departmental systems.

  • Must be able to use office equipment (i.e. copier, fax, etc.).


Essential Duties/Responsibilities:

  • Generate accurate billing invoices and process daily charges, ensuring they are correct before submission.

  • Manage incoming phone calls, emails, and in-basket messages, and process billing record requests.

  • Review self-pay documentation for accuracy, and Good Faith Estimate (GFE) workflow.

  • Address patient and payor inquiries regarding account and resolve billing issues, while also responding to staff questions as needed.

  • Review rejected and denied claims, make necessary corrections, and resubmit to ensure proper payment.

  • Provide the Billing Supervisor with updates on trending issues or notices.

  • Process and correct claim edits to ensure claims are submitted correctly, as well as reviewing reports to ensure proper insurance was added.

  • Post patient and insurance payments accurately and identify and resolve any patient billing issues.

  • Follow-up to ensure claims are paid and understanding complex reimbursement scenarios.

  • Submit claims to all payers in accordance with billing and collection procedures.

  • Manage patient work queues daily.

  • Initiates, files and maintains information regarding refunds or overpayments.

  • Adjudicate radiology and lab charges when the invoices are received.

  • Serves as a support to the billing department if coverage is needed.

  • Participate in staff meetings and attend other meetings and training events as assigned.

  • May be required to perform other related duties, responsibilities, and special projects as assigned.

Physical, Cognitive, and Environmental Working Conditions:

Work is normally performed in a typical clinic office work environment (and, in some cases, telecommuting sites). Physical: Occasionally required to carry/lift/push/pull/move up to 20lbs. Frequently required to perform moderately difficult manipulative tasks such as typing, writing, reaching over the shoulder, reaching over the head, reaching outward, sitting, walking on various surfaces, standing, and bending. Occasional travel to other Axis health centers and other occasional travel will be required.

Equipment: Frequently required to use repetitive motion of hands and feet to operate a computer keyboard, telephone, copier, and other office equipment for extended periods.

Sensory: Frequently required to read documents, written reports, and signage. Must be able to distinguish normal sounds with some background noise, as in answering the phone, interacting with staff etc. Must be able to speak clearly, understand normal communication, and be understood. Must be able to see clearly and have the ability to judge distances and spatial relationships to see objects where and as they actually are.

Cognitive: Must be able to analyze the information being received, count accurately, concentrate and focus on the given task, summarize the information being received, accurately interpret written data, synthesize information from multiple sources, write summaries as needed, interpret written or verbal instructions, and recognize social or professional behavioral cues.

Environmental Conditions: Frequent exposure to varied office (medical clinic/office) environments. Rare exposure to dust and loud noises.
