Job Description

ESSENTIAL DUTIES/RESPONSIBILITIES:

Under the direction of the Enrollment Supervisor:

  • Greet patients and agency visitors; direct all individuals to the appropriate location and services; be courteous, polite and helpful to the public and clients at all times when representing Axis Community Health.
  • Respect and maintain privacy and dignity of agency clients; assure client confidentiality at all times per HIPAA regulations.
  • Register patients, collect and record payments and submit all forms and payments according to established protocols.
  • Serve as part of the front desk team, greeting and checking in patients, and ensuring that all patients receive excellent customer service.
  • Provide clerical support for the assigned department/provider, to include preparing patient records for visits and retrieving voicemails.
  • Remain up-to-date regarding all Axis services and referral options.
  • Maintain the assigned department and ensure that all equipment is in working order, that the area is clean and well-maintained and that sufficient supplies are available for the office and clinical operations.
  • Assist patients in accurately completing appropriate forms, and document all information according to Axis Community Health protocols.
  • Assist in enrolling patients into various programs such as Every Woman Counts, Presumptive Eligibility and HealthPAC.
  • Maintain the assigned department and ensure that all equipment is in working order, that the area is clean and well-maintained and that sufficient supplies are available for the office and clinical operations.
  • Provide all services in a manner that is courteous and professional and ensure client confidentiality at all times.
  • Participate in staff meetings, and attend other meetings and training events as assigned.
  • May be required to perform other related duties, responsibilities, and special projects as assigned.

REQUIRED COMPETENCIES:

  • 2 – 3 years of experience as a receptionist or in customer-facing position, preferably in a medical practice setting.
  • Computer skills to include Microsoft Word and Excel; electronic medical record experience a plus
  • Ability to interact effectively and in a supportive manner with persons of all backgrounds
  • Ability to remain calm in crisis situations and the ability to be flexible in a changing work environment
  • Excellent customer service skills and the ability to develop and implement strategies that improve customer service overall operations.
  • Excellent written, verbal and telephone communication skills.
  • Organized, professional, reliable.
  • Ability to maintain a high level of confidentiality, and a professional demeanor, and must represent the organization in a positive manner at all times.
  • Ability to establish and maintain positive and professional working relationships.
  • Must be able to adjust priorities quickly as circumstances dictate.
  • Must be able to be at work regularly and on time.
  • Must be a dynamic self-starter with demonstrated ability to work independently or in a group setting.
  • A can-do attitude, attention to detail, ability to organize and set priorities, and excellent interpersonal skills.
  • Must have good computer skills using Microsoft Office and the ability to use Axis departmental systems.
  • Must be able to use office equipment (i.e. copier, fax, etc.).

QUALIFICATIONS:

  • High School Diploma or equivalent.
  • English/Spanish bilingual preferred.

Physical Demands and Working Conditions:

Work is normally performed in a typical office work environment. While performing the responsibilities of this position, the individual is required to have ambulatory skills sufficient to visit various parts of the organization. Requires the ability to reach with hands and arms, climb stairs and occasionally lift and/or move up to 30lbs. Requires sitting and standing for extensive periods of time, operating a computer keyboard, telephone and other equipment for extended periods of time. Travel to other Axis health centers and other local travel will be required.
